Who it is for

For businesses whose customers already message on WhatsApp

For a lot of customers, WhatsApp is where they ask first: the price, whether you have a slot, the address, whether you cover their area. If you answer yourself, every message interrupts you; if you are slow, they message the next business.

An AI chatbot for WhatsApp, also called an AI agent, answers those messages straight away with your business information. It suits clinics and beauty salons, hairdressers, restaurants, garages, tutors, estate agents, trades and shops: businesses where the same person handles the counter, the phone and WhatsApp.

Button menu or AI agent?

Many "WhatsApp chatbots" are button menus: press 1 for opening hours, 2 for prices. They work as long as the customer asks what was planned. An AI agent understands what people write in their own words, typos included, and replies from your business information. That is what we build, with clear rules on what it can do alone and what it passes to you.

Where it earns

Clinics and beauty salons

It explains treatments and rough prices and books into free slots. It does not ask for health details in the chat: those stay for the appointment.

Restaurants

Bookings, opening hours, the menu and collection orders, answered in the middle of service without anyone leaving the floor.

Trades and renovations

It asks what needs doing, where and by when, asks for photos and passes you a tidy enquiry to quote.

Hairdressers and garages

Appointments and reminders, so WhatsApp does not interrupt every cut or every repair.

What it does, and does not

What it can do for your business

  • Answer the usual questions: opening hours, rough prices, services, area, payment methods and how to find you.
  • Book appointments into your calendar or booking software, if it can be connected.
  • Qualify whoever writes in: what they need, by when, where and on what budget, so you only talk to the serious ones.
  • Ask for photos of the fault or the job when you need them to quote, and attach them to the alert it sends you.
  • Hand the conversation to you when a person is needed, with a summary of what was said.

What it cannot do

  • Message first anyone who has not written to you or agreed to hear from you. WhatsApp does not allow it, and for promotions the law does not either.
  • Reply freely more than 24 hours after the customer's last message. After that it can only send templates approved by Meta, which are paid per message.
  • Handle a complaint, a negotiation or a delicate enquiry: it passes those to you.
  • Answer what you have not told it. It is set up to say it does not know and alert you, not to make things up.
  • Run on your personal WhatsApp. The assistant uses a business number connected to the official WhatsApp Business Platform.

What it costs

How much does a WhatsApp chatbot cost?

There are three parts, and it helps to look at them separately:

  • The assistant: from £99 a month, the same plan as the website chatbot, with setup, training, hosting and support included.
  • The WhatsApp Business connection: it depends on your number, your Meta account and what needs connecting, such as your calendar or CRM, so we give you a fixed quote before we start.
  • Meta's message fees: Meta charges them, not us, and they are billed to your business's WhatsApp Business account.

There is no contract on our side.

What Meta charges for messages

Meta charges per delivered message, at rates that depend on the type of message and your customer's country. Templates your business sends to start or restart a conversation, such as an appointment reminder, a notice or a promotion, are charged per message.

Replies within 24 hours of a customer's last message have a free allowance: according to Meta's pricing page, since 1 October 2026 the first 1,000 service messages a month per number are free, and they are charged after that. That is why your WhatsApp Business account needs a payment method with Meta, even if everything starts inside the free allowance.

The rates are Meta's and can change, so always check the official WhatsApp Business pricing page. In our proposal we estimate what they would come to at your message volume.

GDPR and consent

WhatsApp, GDPR and consent: the basics

This is general information, not legal advice, but there are five rules worth being clear on before you put an assistant on WhatsApp:

  • Replying to people who message you is the normal case, because they started the conversation. To message someone first, WhatsApp requires that they have agreed to hear from you, and promotional messages can also fall under e-privacy rules (PECR in the UK, the LSSI in Spain), which generally require prior consent.
  • Say in the first message that it is an AI assistant and how to reach a person. The EU AI Act has required it since 2 August 2026, and WhatsApp asks for a clear way to reach someone.
  • Mention WhatsApp in your privacy policy, including that Meta processes the data, and sign a data processing agreement with us.
  • Ask only for the data you need. Sensitive details, such as medical history, ID documents or bank details, should not go through an assistant.
  • Act on opt-outs and deletion requests: if someone asks you to stop messaging them or to delete their data, it gets done.

Common questions

How much does a WhatsApp chatbot cost?

The assistant costs from £99 a month with no contract, with setup, training and support included. The WhatsApp Business connection is quoted separately, at a fixed price before we start. And Meta charges its own per-message fees, billed to your business's WhatsApp Business account, which depend on the type of message and the customer's country.

Do I need the official WhatsApp Business API?

Yes. The free WhatsApp Business app does greeting messages, away messages and quick replies, but it cannot run an AI assistant. That needs Meta's official platform, usually called the WhatsApp Business API. We handle the connection; you need a Meta business account and a number for WhatsApp.

Can I use the number I already have?

It can be a new number or the one you use now. If that number is currently in the WhatsApp Business app, we explain before we start what changes when it is connected to the platform, so you can decide calmly. What we do not recommend is using your personal WhatsApp.

Can it book appointments?

Yes, if your calendar or booking software can be connected, such as Google Calendar or Outlook. It checks the free slots, suggests times and confirms the booking. Reminders the day before go out as templates approved by Meta, which are paid per message.

What happens when a person is needed?

The assistant says so, alerts you with a summary of the conversation and stops replying in that chat until you pick it up. You can also decide in advance which cases always come to you: a complaint, a large quote or a customer who asks for you.

Can it send promotions to my customers?

Only to people who have agreed to receive them, and with marketing templates approved by Meta, which are paid per message. An assistant is not a mass-messaging tool, and blocks and reports from users can lead WhatsApp to limit your number.

Is a WhatsApp chatbot GDPR-compliant?

It can be, if it is set up properly: a business account on the official platform, a notice that it is an AI assistant, a mention in your privacy policy, a data processing agreement and no messaging people who have not given permission. What is hard to defend is serving customers from a personal WhatsApp account, which Spain's data protection authority has already fined a business for.

Do you work with businesses outside Spain?

Yes. We work remotely with small businesses across the UK and Spain. Meta's rates depend on your customers' country, and we estimate them in our proposal.
